Participants, guests, and proxy entry

Represent who is participating, how they access the process, who may vote, and who may enter a response for another person.

Participants and access

Each participant record has an access type, role, participation status, and voting right.

Access types

  • Arena user: an authenticated collaborator in the workspace.
  • Guest: a person expected to contribute through a controlled external interaction.
  • Proxy subject: a person whose response is recorded by an authorized present participant.

Proxy entry should never erase authorship. The record distinguishes the person represented from the person who entered the information.

Roles

The host frames the workshop, opens and reveals activities, and confirms ratification. A co-host can support those duties. A participant contributes and may vote. An observer may review the process but is non-voting by default.

Minimum governance checks

  • Confirm who is eligible to vote before the agreement check.
  • Explain whether responses are private, revealed later, or anonymous.
  • Confirm that proxy-entered responses reflect the represented personā€™s view.
  • Do not infer agreement from absence or silence.
  • Record recusals, declined participation, and observers separately.
