Privacy Policy for Albarena™ Platform

1. Who this policy applies to

This policy applies to the beta web application at app.albarena.ai and related local or test deployments. The Albarena™ platform is currently operated as an early beta project. References to "we", "us", and "our" mean the current maintainer(s), administrator(s), and authorized operators of the beta service, not a separate incorporated entity.

2. Platform provided AS IS

The platform is provided "AS IS" and "AS AVAILABLE". Features may be incomplete, changed, suspended, unavailable, inaccurate, or discontinued at any time. You should not rely on the platform as the sole system for critical, legal, financial, medical, safety, or production decisions. To the maximum extent permitted by law, we disclaim warranties and liability for outages, data loss, incorrect results, failed workflows, security incidents outside our reasonable control, or other harm arising from use of the platform. Your practical remedy for dissatisfaction with the platform is to stop using it and request deletion of your account or data where applicable.

3. Information we collect

We collect and store information needed to provide and operate the platform, including account details, access records, workspace content, files or materials you submit, generated outputs, usage activity, system logs, and technical information related to security, reliability, support, and product improvement. Some activity and log records may be retained for operational review, including a minimum raw activity retention period of 180 days unless a longer period is configured.

4. How we use information

We use information to provide access to the platform, operate and improve the service, maintain security, troubleshoot issues, respond to requests, prevent abuse, support collaboration features, and process user-selected platform functions, including AI-supported or automated features when you choose to use them.

5. AI, files, and generated outputs

Some features may send selected prompts, uploaded files, extracted text, metadata, references, model content, or workspace context to AI, embedding, search, storage, infrastructure, or logging systems that support the beta. AI outputs may be incomplete, incorrect, biased, or unsuitable for your intended use. You are responsible for reviewing outputs before relying on them. Do not upload highly sensitive, regulated, confidential, or third-party restricted information unless you have permission and accept the beta risk.

6. How we share information

• With service providers and infrastructure systems that help run authentication, hosting, databases, storage, email, analytics, logging, search, embeddings, AI processing, and security.
• With users inside your organization, group, or workspace according to product permissions and collaboration features.
• With administrators who need access to operate, secure, debug, support, or audit the beta.
• When required by law, valid legal process, safety needs, abuse prevention, or to protect rights, users, or the service.

7. Retention

We keep information for as long as needed to operate the beta, maintain records, debug problems, secure the service, resolve disputes, and improve the product. Raw product telemetry is retained for a minimum of 180 days and may be retained longer if configured. Aggregated or de-identified rollups may be retained longer. Deleted data may remain for a limited time in backups, logs, caches, or records required for security, integrity, or legal reasons.

8. Your choices and requests

You may request access, correction, export, deletion, or restriction of your personal information by contacting the beta administrator or the address below. Some requests may be limited by security, backup, legal, collaboration, or operational requirements. If you are in a jurisdiction with specific privacy rights, we will try to honor those rights as applicable to the beta and the current operating context.

9. Security

We use reasonable technical and organizational measures for a beta service, including authentication, access controls, role-based permissions, operational monitoring, and limited telemetry. No system is perfectly secure. You are responsible for using a strong password, protecting your account, limiting what you upload, and promptly reporting suspected unauthorized access.

10. International use

The beta may be operated, stored, or processed in locations different from where you live. By using the beta, you understand that information may be transferred to and processed in those locations subject to this policy.

11. Children

The beta is not directed to children and is not intended for users under 16. Do not use the beta or submit personal information if you are under 16.

12. Changes

We may update this policy as the beta changes. Material changes may be posted in the application or on this page. Continued use after an update means you accept the updated policy for future use.
